As some of you know, I had Andy in working on the server at the end of the day yesterday (Friday). At some point, and for reasons yet explained, literally EVERYTHING that was on that server got destroyed.
Upon realizing the loss, Andy proceeded by rebuilding the host server and restored the primary vitural machine (the one which holds Eaglesoft data) with the backup that Sharon makes each night. Although most of the patient and staff user data was preserved, there were also some significant losses which can’t be easily restored.
Below is a list of things that were saved.
- All things Eaglesoft (through Thursday 7/8/2021)
- All files saved on local workstations (through Thursday 7/8/2021)
- All files saved onto the server (through Thursday 7/8/2021)
And this is what was lost:
- Anything entered into Eaglesoft after Thusday. What this means is that the entirety of Friday will need to be recreated ASAP. We need to do this before our memories loose all of this info. If you entered any charting data into Eaglesoft on Friday, it would be prudent to write this down somewhere now while it’s still in your memory!
- The Domain controller. You probably don’t know what this is, but it serves an important purpose. It’s the thing that maintains and controls all of the user accounts (i.e. your Windows loggon accounts).
- A whole bunch of other stuff that doesn’t affect any of you directly, but creates a MOUNTAIN of work for me.
For those who worked on Friday, we need to recreate all of Friday’s activity within Eaglesoft. (IMPORTANT!!! You’ll need to log into Eaglesoft using Friday’s date before entering Friday’s data. You can change the date you’re using at the Eaglesoft signin box).
- The very first thing we need to do is to update Friday’s schedule so that in contains only those names which were on it at the end of the day. This is really so that the following points may be systematicly addressed. (Sue and Sharon)
- Enter charting for each patient – see note about X-rays below (Deb, Steph, Marissa, Michelle)
- Enter newly proposed treatment (Deb, Steph, Marissa, Michelle)
- Re-do walkouts and payments for each patient (Sue and Sharon)
- Deal with the fact that any X-rays obtained are now gone.
- Indicate in notes that X-rays were obtained, but are now missing due to server crash. Indicate in notes that the X-rays will need to be obtained again at next visit. DO NOT post to walkout charges for any X-rays. (Deb, Steph, Marissa, Michelle)
- Credit patient’s charts for any money collected for X-rays that now don’t exist (Sue and Sharon)
- Contact Friday’s patients and get details on any future appointments that were made on Friday so that they can get added back to the schedule. (Sue and Sharon)
For everyone (regardless if you worked on Friday or not), the following issues also apply.
- Because the Domain Controller was lost, a new one had to be created. Now that we’re using a new domain, each of the office computers to which you login will create an entirely new account when you log in. In other words, whatever settings you had on a particular workstation for your particular user will be gone. For example, some of the things that will need to be done again for each user on each computer are:
- Edit “Printer Administration” within Eaglesoft preferences so that documents get printed when you try to do so.
- Set “Default sensor” to Gendex within Eaglesoft preferences for each user on each computer that takes X-rays
- You’ll probably want to restore some view settings within Eaglesoft becaue the default view for Eaglesoft notes and chart will also come back. For example: Proposed, accepted, and existing text with the charge all returned to just black text
- spell checking turn back on
- others I can’t think of right now
- Any other per user settings will be reset as well. IE. Size and color of mouse, desktop backgrounds, etc. (If you had files stored locally on a workstation under your old domain account, you’ll still have access to them. They’re not lost, but they won’t show up automatically like they had in the past.)
- Probably a million things I’m just not thinking of at the moment
Andy was in working on stuff this morning. I plan to go in tomorrow and work on whatever I can. I’ll probably go in early, but I don’t really have any idea how long I’ll be there. Regardless, you all are welcome to address this whenever you wish. I believe the only urgency here is getting Friday’s patient notes written down somewhere so tha they don’t get lost. If you’d like a copy of Friday’s schedule, let me know… (I can get you one just as soon as we update it to reflect the additions and subtrations that occured during the day). Once you get the chart notes written down somewhere, you can transfer them to Eaglesoft when you’re back in the office.
I’m going to attempt to make things as smooth as possible for Monday. But, with that said if you’d prefer to come in tomorrow just to make sure you’re not walking into some kind of total mess on Monday, I won’t complain.
I need a nap… or a drink.
